Inside information on how to become a wizard in Hive!
Hive 25 is an online rostering tool that integrates with Google to send messages between Clients, Agencies and Freelancers. Both Agent and Clients users are supplied with a Gmail Hive 25 email address, whereas Freelancers will use their own personal email address' to receive notifications.
Upon receiving login details - head here:
Online Login
You will be greeted with an login page - if you're a Freelancer, ensure the page is selected on the 'Contractor' tab. If you're a Client or Agent user, ensure the page is selected on the 'Company' tab.
Once logged in you should see the roster view.
Client loading a booking
Select the date and click the right hand + icon to open up the job templates.
From here you will see the available and preferred contractors. Issue an invite and await the notification when the recipient confirms or rejects.
The client can do a number of things with a booking from editing, loading a series of bookings and searching other candidates outside of the preferred team. Details of these features are found in the client users page of this help guide.
Each colour has a different meaning, and is a good guide to view what you need to action or what you need to monitor.
GREY = Draft
It's a shift that's been marked on a certain day, but it hasn't been offered to any freelancers yet. This is done when you load in a booking and Save before issuing an invite.
ORANGE = Awaiting Contractor to Respond
When invite is issued and now awaiting for the freelancer to respond, this booking will be highlighted in orange.
PURPLE = Awaiting Client to Respond
Once a freelancer has accepted a booking the colour of the booking turns purple - awaiting the client to now confirm or reject.
GREEN = Confirmed Booking
When the client confirms the booking it will display as green.
RED = Invite Rejected
When all invited freelancers have rejected the booking invite. Call to action! Issue more invites.
BLUE = Agency Invite Rejected
A client user will see Blue when an agent invite has been rejected. This works vice-versa for Agents viewing client bookings that have been rejected.
Selecting Individual Dates
Instead of viewing the 5 next upcoming bookings in the right hand side menu, you may want to select specific dates to view.
To do this, hold down the CMD key on your keyboard and select the date you wish to view - this will allow you to view one booking at a time!
Refreshing Hive
Hive updates every time a booking is made or a status changes, however it won't always show this on your roster view or notifications. Therefore you need to ensure you manually refresh Hive every so often, in order to see booking status' and new notifications.
Bookmarking Views in the Roster
Hive has filtering options within the roster, so that Users are able to see a variety of views, with one click of a button.
Easy Navigation from Booking to Booking
Once you've got your bookings loaded into Hive, you'll see that the display both on the roster as well as in a list view on the right hand side. However, you may want to view each booking in detail, quickly. You can do this by using the Next and Previous buttons in the booking form view - see the below example:
Selecting all dates in one month
When you log onto Hive, you're taken straight to the roster view, where it will automatically select the current date and the 5 dates after that. This means any bookings that are on these dates will appear on the right hand side of the screen.
However, you may want to view all bookings within that month. This is how you do so:
Fast and easy.
Click the top right of the date and the unavailable icon will appear marking the freelancer as unavailable and no longer visible for bookings.
To mark available click the bottom left to reverse it.
Whether you're an Agent, Client or Freelancer, you'll need to make sure the email address you're using for Hive is set up to your mobile and is going to immediately notify you of any new notifications. To do this setup your mobile to receive push email notifications.
Once you've got your emails all set up, you can then create a shortcut on your mobile for Hive 25.
